1. Who we are

"We", "us", and "the Company" mean Robotna, based at Robotna Center, Al-Rabiah, Amman, Jordan. This policy covers everyone who uses Robotna Forms — the creator and admin accounts that build forms and certificates, and the members of the public who fill out a form through a shared link.

Creator and admin accounts belong to Robotna employees and authorized staff acting on the Company's behalf, not independent third parties. Robotna — not the individual staff member — is responsible for how personal information is collected and used through these accounts.

2. Information we collect

Depending on how you use the service, we collect:

  • Account information — for creator and admin accounts: name, email address, and a securely hashed password. Accounts are issued by an administrator to Robotna staff only; there is no public sign-up.
  • Form submissions — when you fill out a public form, we collect whatever the form asks for. Every form collects a name, email address, and mobile number, plus any additional fields the form includes (free text, numbers, dates, choices, or an uploaded file such as a photo or PDF, up to 5MB).
  • Certificates — if the form you submitted is linked to a certificate, we generate a certificate document from your submission and may email it to the address you provided.
  • Security data — your IP address may be used briefly to rate-limit repeated login attempts. We do not use it for tracking or analytics, and we do not run any third-party analytics or advertising scripts on this site.

3. How we use this information

  • To operate the form and certificate you interacted with — for example, storing your answers and generating or sending a certificate.
  • To let Robotna staff view and export the responses submitted to the forms they manage.
  • To keep accounts and the service secure, including detecting abuse of the login page.

We do not sell your personal information, and we do not use it for anything beyond what is described in this policy.

4. Where your data is stored

Submissions, uploaded files, and account data are stored on our own servers, not a third-party analytics or ad platform. Access is restricted to Robotna staff who manage the form and to administrators who manage the platform.

5. How long we keep it

We keep your form submission and any certificate generated from it until you ask us to remove it. We do not use it for any other purpose in the meantime.

6. Your rights

You can ask us to:

  • Send you a copy of the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your submission or account data.

7. Cookies

We use a single session cookie to keep you signed in (for creator/admin accounts) and a CSRF cookie to protect forms from cross-site attacks. We do not use advertising or tracking cookies.

8. Children

Our forms are built by Robotna staff and may occasionally be aimed at minors (for example, a school event). If you are a parent or guardian and believe a child has submitted personal information without your consent, contact us and we will remove it.

9. Changes to this policy

If we make material changes to this policy, we will update the date at the top of this page.
